INTERNAL TOOLS

Replace the Workarounds With Tools Built for Your Team

We embed in your operation, learn the workflow behind the spreadsheets and copied data, then build internal tools, dashboards, and automations that give your team one place to work. And we maintain them after launch.

SOUND FAMILIAR?

Your Process Lives in Spreadsheets and Memory

Copied Data Everywhere

The same customer, job, or order gets typed into a spreadsheet, a CRM, and an accounting system. Every copy is a chance for an error.

Status Lives in Someone's Head

To find out where something stands, you ask a person. Work slows down when they are out.

Tools That Almost Fit

Off-the-shelf software covers most of the job, and manual steps fill the gap. Those steps rarely get written down.

THE MVP OPS APPROACH

One Place to Do the Work

We build around how your team actually works, then connect the tools you already pay for so data is entered once and shows up everywhere it is needed.

Example: A New Job Comes In

1

Request arrives from a form or email

→
2

Job created in your system of record

→
3

Assigned and scheduled

→
4

Status visible on a shared dashboard

→
5

Billing details sent to accounting

Entered once. Visible to everyone who needs it.

HOW WE WORK

Embed, Prioritize, Build, Maintain

01

Embed

We sit with the people doing the work and learn the workflow, the exceptions, and the tools in play, so we know where the time goes.

02

Prioritize

We pick the bottleneck that costs the most and agree on scope and a plan before any code gets written.

03

Build

We build the tool, dashboard, or automation and connect it to Smartsheet, your CRM, POS, and accounting, in increments your team can use along the way.

04

Maintain

We keep it running, secure, and up to date, and extend it as your process changes.

Timeline: Most clients see initial improvements within two to three weeks, with working pieces to review along the way.

WHY BUILD IT

Workarounds vs. Built Tools

Workarounds MVP OPS
Data Entry Typed into several systems Entered once, synced everywhere
Status Ask the person who knows Live dashboard
Process Knowledge In someone's head Built into the tool and documented
Integrations Exports and copy and paste Direct connections and automations
Access Shared files and passwords Role-based access
After Launch Whoever has time Maintained by the team that built it

Off-the-shelf tools are the right answer when they fit. When your process is what sets you apart, the tool should fit the process.

COMMON QUESTIONS

Internal Tools FAQ

What kinds of internal tools do you build?

Dashboards, intake and request forms, scheduling and job tracking, approval workflows, client portals, and the automations and integrations that connect them to the systems you already run.

Do we have to replace the tools we already use?

Usually not. Often the software you already own can do much more with the right setup, integrations, and training, so we start there and build only where it falls short. As a Certified Smartsheet Partner we integrate deeply with Smartsheet, and we connect to Salesforce, HubSpot, your POS, accounting, and almost anything with an API.

How do you figure out what to build?

We embed first. We spend time with the people doing the work, map the workflow and its exceptions, and find the bottleneck that costs you the most before recommending anything.

What does it cost?

Most projects range from $15K to $75K depending on scope, followed by ongoing support sized to what you need. After a discovery call we give you a clear estimate before any work starts.

Who maintains the tools after launch?

We do. The same team that built them keeps them running, secure, and up to date, and extends them as your process changes. Every tool also ships with documentation of what it does, where it runs, and how to maintain it, written so your team can use it.

Where Does Your Team Lose the Most Time?

Tell us about the workarounds. We will tell you how we would replace them and what it would take.

30-minute call. No commitment.
